SUBMISSION GUIDELINES

 

The Call for Presentations ended Friday, July 15, 2011. Guidelines are posted for reference only. 


These guidelines accompany the Presenter Guidelines. They are for researchers who wish to give an oral or a poster presentation, or organize an independent session such as a workshop, panel, etc. 

Please read the guidelines carefully before submitting your materials. If you have questions, contact Jim Westwood, the program coordinator, at MMVR19 [mmvr19-at-nextmed-dot.com]. 


Conference presentation can take several forms: 
  • Papers 
  • Posters 
  • Focus Sessions 
  • Panels 
  • Workshops 
  • Tutorials 
  • Demonstrations 
The materials submission deadline is Friday, July 15, 2011. 


Oral & Poster Presentations (Long & Short Papers) 

If you want to be considered for an oral presentation, please submit a "Long Paper." A Long Paper should have up to 3 pages of text plus 1 or 2 pages with illustrations only. Please submit your Long Paper as both MS Word and PDF documents.

If you prefer to give a poster presentation, please submit a "Short Paper." A Short Paper should have 1 page of text plus 1 page with illustrations and additional references. Please send your Short Paper as both MS Word and PDF documents.

In fairness to all authors, you must keep strictly within these page limits.

Your research description should include these key elements within clearly organized sections:
  • Heading (Title, Authors, Affiliations) 
  • Abstract 
  • Introduction (or Background or Problem) 
  • Methods & Materials 
  • Results 
  • Conclusions (or Discussion) 
  • Acknowledgment 
  • References 
  • Illustrations (including tables, figures, etc.) 

Acknowledgments, such as for research funding, are optional. References can be in any traditional format. On Short Papers (only), References may extend into the second page and accompany your Illustrations.

Clarify the current stage of your research: planned, in progress, completed, etc. Specify, where applicable, the number of subjects in the study. 

If your research project has been presented before at MMVR, please clarify the novelty of this presentation in comparison to your earlier presentations.

We also welcome presentations of a visionary, overview, or historical nature (rather than based on a research project). You may modify the structure above to fit the material. However, your description should include sufficient detail to support your hypotheses.

PLEASE write clearly. Your first objective is to convince reviewers of the soundness and originality of your work. Focus on what is most innovative, valid, and useful. Describe your tools and methods accurately, including any commercial products utilized. Keep in mind that reviewers are familiar with general issues in the field: background explanation should be brief.

Authors who use LaTeX instead of MS Word may submit their papers in PDF and LaTeX. 

Please note: These Long and Short papers are not the same as Proceedings submissions. The latter will be invited when accepted presentations are announced in September. Different formatting guidelines will apply!  


Independent Sessions 

If you wish to organize an "Independent Session" (focus session, panel, workshop, or tutorial), please complete and return the proposal form by July 15, 2011:

Please note our expectations for independent session organizers and their invited presenters.

Submit this proposal form by ordinary email. Do not use the upload process requested for Long and Short papers. 


Demonstrations 

We will invite individual, laptop-based demonstrations later this year. The July 15 deadline does not apply to these casual demonstrations.


Upload Your Documents

Upload the PDF and MS Word versions of your Long or Short Paper here: 

Your documents should be not more than 2 MB each. 

When your files are uploaded successfully, you will see a screen that acknowledges the upload and invites you to either upload another file or return to the conference home page. 

If you encounter a problem uploading your materials, please send an email (without attachments) to the address below, explaining the problem. We will arrange for an alternative submission route, if necessary.

Please do NOT email Word and PDF files to us. They quickly overload the email system! 

On July 14 and July 15, the submission system may be challenged by the volume of incoming material. If you encounter problems, do not panic. Issues will be resolved in a timely matter so all would-be presenters are included. 


Then Contact Us by Email

When you have completed your upload, please send us an email to confirm: 
  • Your name (or that of the intended presenter)
  • Your academic degree (PhD, MD, MSc, Dipl-Inform, etc.) 
  • Your institutional affiliation (department, university, corporation, etc.) 
  • Your contact information (mailing address, phone, and best email) 
  • Your presentation title(s) (as found on the uploaded documents)
