PRESENTER & PARTICIPATION GUIDELINES

Presenting

If you wish to present a lecture or poster, please submit an abstract of your intended presentation for the Organizing Committee to review. Submission procedures are given at the ”Abstract Guidelines” page. The submission deadline is Tuesday, July 15, 2008.

Accepted abstracts/ invited presentations will be announced in September 2008.

Members of the Organizing Committee review submissions and determine acceptance as either a paper or poster presentation. You may specifically request a poster presentation if that is your preferred medium.  Each abstract has multiple reviewers. Invitations for lecture and poster presentations are based on evaluations, conference educational objectives, and scheduling needs.

There is a limit of two (2) presentations per presenter or paid registration.

The designated presenter may be changed after abstract submission and any time before the conference. Please be sure to inform us of any presenter changes. Only a single, lead presenter is listed per presentation, unless it is a true “tag team” presentation. 

Presentations must focus on original and scientifically valid information and ideas. Commercial promotion and funding requests are inappropriate.

Based on prior years, one-half of submitted abstracts will result in an invitation for a poster presentation. There will be sessions dedicated to poster viewing, during which presenters explain their research to participants.

The initial conference schedule will be announced in October 2008 and revised as necessary thereafter. We ask presenters to notify us promptly of any schedule conflicts. We try to accommodate the schedule needs of all presenters to the extent possible.

At this time, we expect IOS Press (http://www.iospress.nl) to publish the MMVR17 Proceedings as part of its series on medical informatics. Full papers are invited in late September/early October. Acceptance will be subject to the review and approval of the editorial team. Submitting a paper to the Proceedings is optional.

Registration

Presenters must register for the conference. One presenter per presentation (only) will receive a discounted registration. Also, a discounted registration will be available for full-time students.

Registration forms will be posted by September 2008. Please note the cancellation and refund policies explained on the registration form.

Registrations are transferable to another presenter at any time without penalty. Please notify us of any presenter changes as soon as possible so we can update the program.

Authors submitting papers for publication in the Proceedings must simultaneously send a paid conference registration. If a paper is rejected, the registration will be refunded without penalty.

We request a paid conference registration from each presenter by December 31, 2008. If a presenter cannot pay by that day, then he/she should contact us to explain the delay. Please note that we understand that a late or onsite registration is sometimes necessary. Our aim is to verify presenters’ participation.

We understand the presenter changes are sometimes necessarily. Your registration is transferable to another participant at any time. If you must cancel your registration entirely, your payment will be refunded, less a $100 administrative fee, per written request by December 31, 2008; no refunds thereafter. You may also transfer your registration, less the $100 fee, to the following year.  

AMA, Inc. fully complies with the legal requirements of the ADA and rules and regulations thereof. If any participant is in need of accommodation, please notify us. We will make every reasonable effort to accommodate requests received through December 31, 2008.
