Submission & Review

Submissions were due Friday, July 15, 2011, the Call for Presentations deadline. 

Members of the Organizing Committee evaluated submissions and determined acceptance as either oral or poster presentation. They also reviewed independent session proposals. Each submission had multiple reviewers. Acceptance of oral and poster presentations was based on evaluations, conference educational objectives, and scheduling needs.

Presentations must focus on original and scientifically valid information and ideas. Commercial promotion and funding requests are inappropriate.

You may change designated presenter after abstract submission and any time before the conference. Please be sure to inform us of any changes. With rare exception, only the lead presenter is listed in conference publications or website for any single presentation.

There is a limit of 2 presentations per presenter / paid registration. This includes presentations transferred from another initial presenter after review and acceptance.

Accepted presentations were announced in late September 2011. At that time, presenters were invited to submit a formal paper to the Proceedings. 

The initial conference schedule will be announced in October 2011 and revised as necessary thereafter. We ask presenters to notify us promptly of any schedule conflicts. 

As during prior conferences, we will invite casual, laptop-based demonstrations later this year. The July 15 deadline did not apply to these casual demonstrations.

Materials Publication 

All submitted materials will be published in the MMVR19 conference syllabus (printed and CD). If you wish to exclude your materials from the syllabus, let us know well in advance of the conference. Please note that copyright is not claimed by the conference organizers. 

IMPORTANT: By submitting materials for consideration, each presenter/author warrants that) that these materials are his/her own original work; 2) that these materials contains nothing libelous or unlawful; and 3) that publishing these materials in the MMVR19 syllabus does not violate any copyright, proprietary right, or any other right. Furthermore, each presenter/author agrees to indemnify and hold harmless the conference organizers from any claims or lawsuits arising out of publishing these materials in the MMVR19 conference syllabus. 


Registration

Conference registration will open in September 2011. All presenters must register for the conference. One presenter per presentation (only) will receive a discounted registration. A discounted registration is also available for full-time students who provide the requested documentation.

We require a paid conference registration from each presenter by Monday, January 16, 2012. (This is also the hotel discount deadline.) If you cannot register by this date, you must contact us to explain the delay. Our aim here is to verify participation and maintain the integrity of the program. We can accommodate exceptional situations. 

Presenters submitting papers for publication in the Proceedings must simultaneously send a paid conference registration. If a paper is not accepted for publication and the presenter withdraws from in the conference, the registration will be refunded without penalty.

If you must cancel your registration entirely, your payment will be refunded, less a $100 administrative fee, per written request by Friday, January 6, 2012. No refunds offered thereafter. You may also transfer your registration, less the $100 fee, to the following year's conference.

Registrations are transferable to another presenter at any time without penalty. Please notify us of any presenter changes as soon as possible so we can update the program.

AMA, Inc. fully complies with the legal requirements of the Americans with Disabilities Act (ADA) and rules and regulations thereof. If you are in need of ADA accommodation, please notify us. We will make every reasonable effort to accommodate requests. If assistance is needed, please notify us by January 16, 2012.
